Rail Manager Assistant – Nottingham

Readypower Rail Services is looking for an experienced Rail Manager Assistant to support our operations. This is a full-time opportunity based from our Nottingham depot.

The role:

Operations

  • Responsible for order entry from point of order/receipt until it is passed to Finance for invoicing
  • Maintain the orders inbox – entering all orders accurately on to the Rental Manager (RM) contracts system
  • Liaise with operational managers and clients regarding queries or issues with orders
  • Advise customers where additional or amended orders are required and assist with the detail of the orders where required
  • Assist key customers who require additional administration processes prior to invoicing
  • Maintain and prepare RM contracts for invoicing
  • Chase all outstanding orders, which involves contact with both internal and external sources
  • Assist in the AR outstanding orders meeting
  • Work closely with the Finance team to ensure all jobs are invoiced correctly and on time
  • Assist with outstanding invoicing queries when required
  • Provide / assist with holiday cover when required for colleagues within the department
  • Assist with annual file archive and retention process
  • Provide hospitality when required during meetings
  • Ad hoc administration duties as required

Training School

  • Send joining instructions to delegates for training and assessment events
  • Complete relevant booking forms and conduct pre-course eligibility checks
  • Prepare training packs for subcontractors delivering training/assessments
  • Assist with the training school diary management, scanning and filing

Requirements:

  • Previous experience as an office administrator
  • Excellent data entry skills and a keen eye for accuracy
  • Ability to multi-task and prioritise tasks
  • Good interpersonal and communication skills
  • Confident in the use of Microsoft Office (Outlook, Word, Excel)
  • Good team player
  • Ability to travel to and from depot
